1. Data controller
The data controller is Kacper Drozd, running a business under the name Kacper Drozd Synapsite, ul. Rotmistrza Witolda Pileckiego 25, 20-091 Lublin, Poland, tax ID (NIP) 7123518554, REGON 545694348, the owner of synapsite.pl. Contact on data matters: kontakt@synapsite.pl.
2. What data we process
- Contact form data: your name, email address or phone number and, if you give them, the company name, its website address, the chosen topics and the content of the message.
- Correspondence data: what you write to us by email, and our replies.
- Technical data: the IP address and basic server logs kept by the hosting provider. The IP address is also used to limit abuse of the form: we remember it for 10 minutes, only in server memory.
- The AI assistant demo: runs entirely in your browser, on prepared answers. Questions typed in the demo are not sent or saved anywhere.
- The price calculator: counts in the browser. The result reaches us only if you send it yourself through the form.
- Cookies: the site does not use them. Details in the cookie policy.
3. Purposes and legal bases
- Replying to an enquiry and preparing a quote: your consent and steps taken at your request before entering into a contract (Art. 6(1)(a) and (b) GDPR).
- Site security and protecting the form from spam: the controller's legitimate interest (Art. 6(1)(f) GDPR).
- Establishing, pursuing or defending claims: the controller's legitimate interest (Art. 6(1)(f) GDPR).
4. Retention period
We keep the data from an enquiry and correspondence for as long as needed to handle it. If we start working together, for the duration of the contract and then until claims expire. If the cooperation does not happen, we delete the correspondence after 12 months at the latest. Server logs are kept by the hosting provider for no longer than 12 months.
5. Recipients of data
We entrust data to providers who act on our behalf:
- Vercel Inc.: hosting of the site. The form is handled by a server in Frankfurt (EEA), and pages are delivered by Vercel's global network of servers;
- Resend, Inc.: passing the message from the form to our mailbox;
- home.pl S.A.: the domain and email.
We have a data processing agreement with each of these providers. We do not sell data or pass it on for marketing purposes.
6. Transfers outside the EEA
Vercel Inc. and Resend, Inc. are based in the USA, so data may be transferred outside the European Economic Area. This is done on the basis of the standard contractual clauses approved by the European Commission or an adequacy decision (the EU-US Data Privacy Framework), depending on the provider.
7. Your rights
You have the right to:
- access the data and receive a copy of it,
- rectify (correct) the data,
- erase the data,
- restrict processing,
- data portability,
- object to processing based on a legitimate interest,
- withdraw consent at any time (without affecting the lawfulness of processing before the withdrawal),
- lodge a complaint with the President of the Personal Data Protection Office (PUODO), ul. Stawki 2, 00-193 Warsaw, Poland.

8. Voluntary provision of data
Providing data is voluntary, but without a name and an email address or phone number we will not be able to reply to your enquiry.
9. Automated decisions
We do not make automated decisions and we do not profile visitors to the site.
10. Changes to the policy
We update the policy when the law or the way the site works changes. The current version is always at this address, with the date of the last update.
