Problem and solution

Problem

Clients write with questions about status, an invoice, documents. You answer the same thing again and again, sometimes to a third person on the same day.

How we solve it

We build a portal where the client logs in and finds their own orders, invoices, documents and progress. Email stays for matters that really need a conversation.

What the service includes

This is the standard scope. In the quote you get this list in writing, and whatever you do not need drops out of the scope and the price.

Need a different scope? Describe what should be built. We will send back a list of items with a price for each.

What you get

Repeated questions disappear from the inbox

The client has access to everything at any hour

The company looks well organised

What answering the same thing costs you

Count how many times a week someone in the company answers a question about order status, asks for an invoice to be resent or explains where a job stands. In many companies it is a dozen calls a day, and each pulls an employee away from other work.

A client panel moves those answers to a place where the client reaches for them on their own, at any time. The phone stays for matters that really need a conversation.

What the client sees after logging in

Most often: a list of orders or jobs with a status, documents to download (invoices, protocols, contracts), payment history and a place to report an issue. In the B2B variant you add individual prices, credit limits and the ability to place the next order without contacting a salesperson.

On your side there is an admin panel: change a status, upload a document, answer a request. A status change can automatically send the client a notification, which also removes part of the "I am writing to inform you that..." emails.

Security and data

The panel requires login, and a client's data is visible only to that client. Passwords are stored encrypted, sessions expire and access can be removed with one click. You also get documentation of the data processing to attach to your GDPR records.

Frequently asked questions

Not your question? Write to us, we will answer plainly.

Will the panel connect to a system we already use?

Usually yes, and that makes more sense than entering data twice. We connect to your sales, warehouse or accounting system so that statuses and invoices reach the panel automatically. We check feasibility before quoting.

What if clients do not want to use it?

That is a real risk and depends mainly on whether the panel is simpler than a phone call. So we design it around one click to the most common task and help prepare an onboarding message to clients. Some will still call, but the number of the most repetitive questions usually drops.
